How to set up the organizational structure

The organizational structure is the first module you should configure in Sabentis. It defines the foundation upon which the other modules operate: risk assessments, inspections, training, absenteeism, and reporting all work based on the centers, positions, and employees you register here.

⏱ 8 min read🏷 Organizational Management

Before you begin, have the following on hand

  • Your company’s list of work centers (name, address, type).
  • The job positions defined in your organization.
  • The list of workers with their basic data and their assignment to center and position.

How to access the module

Access from the Sabentis side menu → Organizational Structure. Direct URL /fuse/home/prime/organizationalstructure/dashboard:

On the home screen you will see counters for work centers, positions and registered workers, and a geolocation map of your centers.

Step 1 — Create the work centers

Work centers are the production units of your company. Sabentis supports three types:

🏢

Work center (WC)

Fixed installations in a building.

🚧

Construction site

For construction, with start and end dates and the company’s role (principal or contractor).

🚛

Itinerant

For units without a fixed location, such as vehicles or fairs.

  1. Click on the card Work Centers.
  2. Tap Add new center.
  3. Fill in the required fields (marked with *).
  4. Save the record.

Once created, the following tabs are activated: Center Workers, Workplaces, Occupations, Material Agents, Job Positions, and Documents.

💡 Do you have many centers?Use the bulk upload feature with Excel to register multiple centers at once instead of one by one.

Step 2 — Define the job positions

Job positions are the combination of occupation and specific physical location. A job position is the point of connection between a person and a place. When you assign a worker to a job position, they automatically inherit the risks of that job position and all physical locations above it (zone, place, center, company).

  1. Access the Job Places card or do it from inside a center.
  2. Click Add new position.
  3. Match the corresponding occupation with the physical location.

Step 3 — Register the workers

  1. Access the Workers card.
  2. Click Add new worker.
  3. Fill in the basic information (name, identifier, email).
  4. On the Work Centers tab, assign the center where you work.
  5. On the Job Positions tab, assign your position.

Configuration levels: from minimum to detailed

✅

Minimum configuration

Company → Work centers → Job positions → Employees. Sufficient to operate at 100%.

🔍

Detailed configuration

Company → Center → Workplace → Zone → Area → Surface → Position. Recommended only if you need very specific risks by zone.

📌 Start simpleYou don’t need to use all the levels. Start with the minimum settings and add levels if you need them.

Frequently Asked Questions

Can I assign a worker to more than one work center?
Yes. An employee can be linked to several centers and will inherit the relevant information from each one in their portal.
What is the difference between occupation and job position?
The occupation is the generic job title (e.g., Production Operator). The job position is that job title in a specific location (e.g., Production Operator — Assembly Area, Barcelona Center). Location-specific risks are managed at the job position level.
How do I know if the structure is configured correctly?
The module’s dashboard displays the updated counters. If you see workers without assigned positions or centers without workers, review the relationships from the tabs of each element.

Do you need assistance with your initial setup?

We’ll guide you through the initial upload of centers, positions, and workers to ensure a smooth start.
